Role Overview
As the Executive Assistant to the Chief Executive, you will play a crucial role in ensuring the seamless operation of the organisation. Your ability to manage complex administrative functions, facilitate executive decision-making, and engage with key stakeholders will directly contribute to ILF’s success.

About the Person
You are an experienced and highly organised professional who thrives in a 1:1 executive support role. You bring a strategic mindset, ensuring the Chief Executive’s time is dedicated to high-priority initiatives by expertly managing schedules, correspondence, and stakeholder relationships.
You are confident and professional as the first point of contact for internal and external stakeholders, handling all interactions with discretion, efficiency, and a solutions-focused approach. Your ability to manage complex administrative tasks, coordinate board reporting, and oversee financial processes ensures seamless organisational operations.
You have exceptional written and verbal communication skills, allowing you to engage effectively with senior leaders, ILF Scholars, and key industry stakeholders. Your ability to handle sensitive and confidential matters with the utmost professionalism is second nature.
Your calm and proactive nature allows you to balance competing priorities with ease, ensuring deadlines are met and operations run smoothly. You take initiative in problem-solving and are resourceful in optimising processes for efficiency.
Experience in a professional services, not-for-profit, or membership-based organisation is advantageous, but most importantly, your extensive expertise as an Executive Assistant will be highly valued and appreciated.
Key Responsibilities
  • Provide comprehensive executive support to the Chief Executive, managing schedules, correspondence, and key priorities with efficiency and discretion.
  • Oversee and streamline office operations, ensuring all administrative functions are executed seamlessly.
  • Manage bookkeeping and financial processes, including payroll and accounts management, ensuring accuracy and compliance with best practices.
  • Act as the primary liaison for ILF Scholars, fostering strong relationships and coordinating engagement initiatives.
  • Plan, coordinate, and execute high-profile events that enhance ILF’s brand and member experience.
  • Prepare board reports, maintain governance records, and provide secretariat support to ensure effective decision-making.
  • Support marketing communication efforts, including social media management, particularly LinkedIn, to enhance ILF’s visibility and engagement.
Skills, Knowledge and Experience
  • Exceptional written and verbal communication skills, with the ability to draft high-quality correspondence and reports.
  • Advanced proficiency in Microsoft Office and website management tools.
  • Demonstrated experience in coordinating board reports, governance documentation, and high-level meetings.
  • Strong financial acumen, including experience in bookkeeping, payroll processing, and financial reporting.
  • Expertise in CRM systems, ensuring data integrity and effective stakeholder engagement.
  • Proven ability to organise and execute corporate events with professionalism and attention to detail.
  • Exposure to marketing communications, including drafting press releases and stakeholder communications is desirable
  • Experience managing professional social media platforms, with a strong focus on LinkedIn, including content creation, audience engagement strategies, and brand visibility
  • Understanding of NFP/DGR/Charity compliance obligations is considered favourably
